Handover & enablement

Built, handed over, supported.

Every Nexform AI build is delivered with a complete handover pack — clear documentation, a live walkthrough, escalation guidance and post-launch support — so your team can run the system confidently from day one.

The handover pack

Everything your team needs to run it confidently.

At handover, your team receives a complete pack covering how the system works, how to operate it day-to-day, when to step in and where to get help.

01System documentation

What the system does, how it’s wired together and where every integration sits.

02Operating procedures

Written, step-by-step guidance for running the workflow day to day.

03Live walkthrough session

A hands-on session with your team — recorded, so future hires can watch it too.

04Responsible AI guidance

What good AI use looks like in your context, including guardrails and limits.

05Human escalation playbook

When and how to escalate, override or step in — with clear decision points.

06Post-launch support

30 days of monitoring, bug fixes and refinement based on real-world usage.

What’s covered

Built around the systems your team actually uses.

Handover is tailored to the workflows, automations and processes we’ve deployed for you — so staff understand what the system does, when to intervene and how to manage outputs safely.

AI voice agent operation

Day-to-day operation, monitoring and managing the agent and its call outcomes.

Workflow automation

How automated workflows trigger, run and route work across systems and teams.

Document review processes

How extracted document data flows through review, validation and approval.

CRM & API workflow usage

How AI updates your CRM, syncs data and connects with the tools you use.

Human escalation procedures

When and how to escalate, override or step in — with clear decision points.

Responsible AI awareness

What good AI use looks like in your context, including guardrails and limits.

Admin team enablement

Practical guidance for the people running the system day-to-day.

Operational support guidance

How to log issues, request changes and get help after launch.

What this means for your team

Outcomes that reduce adoption risk.

A thorough handover is what separates a working system from a confidently-used one. Here’s what your team gets out of it.

  • Staff understand how the AI system works.
  • Teams know when to intervene and when to trust it.
  • Processes are documented clearly, end to end.
  • Automation outputs are reviewed correctly.
  • Leaders have better operational visibility.
  • Adoption risk is materially reduced.
Delivery approach

A structured handover process for AI-enabled operations.

From scoping the user group to reviewing how adoption is going post-launch, every handover follows a clear path that keeps risk low and confidence high.

01Understand users and workflows

Map who will use the system, what they need to do and where AI fits into the operational process.

02Define handover requirements

Identify user roles, confidence gaps, review points, escalation needs and adoption risks.

03Prepare operating guidance

Create practical instructions, handover notes, usage examples and workflow documentation.

04Deliver a live walkthrough

Run a hands-on session focused on real tasks, outputs, decisions and safe operation.

05Support the handover

Help teams move from implementation into confident day-to-day use of the AI system.

06Review adoption feedback

Capture questions, friction points and improvement areas after users begin operating the workflow.

Handover & enablement FAQs

You own what we build.

How we hand over to your team, what’s included, and what happens after launch.

System documentation, written operating procedures, a live walkthrough recorded for future team members, responsible-AI guidance specific to your workflows, an escalation playbook for things going wrong, and 30 days of post-launch support. Included with every Pilot and Build at no extra cost.

30 days included with every Build, where we monitor, fix bugs, and refine based on real-world usage. After that, the Care plan (from £295/month, no lock-in) gives you ongoing monitoring, updates, and changes.

Yes — that’s the point of the handover. We hand over documentation, dashboards, error notifications, and admin access so your team can pause, modify, or extend workflows themselves. You’re not locked into us for routine operation.

Small tweaks (changing thresholds, adding a recipient, tweaking message text) your team can usually do themselves using the docs we provide. Bigger changes — new integrations, new workflows, structural changes — we can quote on, or you can take to another developer. No vendor lock-in.

Yes. We typically train 2–4 people during handover: one primary operator, one technical reviewer, and any executives who need a high-level view. The recorded walkthrough means future hires can be onboarded by your team without scheduling more sessions with us.

On the Care plan we’d fix it as part of your monthly fee. Off Care, you can come back to us per-issue (charged hourly) or have your team or another developer handle it using our documentation. You own everything we build — code, configurations, integrations.
